Refund & Cancellation Policy

This policy explains how EatBot handles cancellations and refund requests. It reflects how our manual payment flow works today. This is operational information, not legal advice.

1. How EatBot payments currently work

  • EatBot subscriptions are activated after a manually submitted payment is reviewed and approved by our team.
  • Submitting a payment request does not activate a subscription on its own. Access to paid features begins only after the payment is approved.
  • A rejected payment request does not activate a subscription and does not create a paid subscription period.

2. Cancelling a pending payment request

If you submitted a payment request that has not yet been approved or rejected, you may cancel it from your subscription page where the product supports doing so. A cancelled request is not reviewed further.

3. Cancelling an active subscription

You may stop using EatBot at any time. If your subscription has been activated, access to paid features continues until the end of the paid period disclosed at the time of approval, unless the subscription has been locked, suspended, or cancelled for a reason described in the Terms of Service.

Because EatBot's manual payment flow does not automatically recur, no additional charge is taken by EatBot when your paid period ends. To continue after that, submit a new payment request.

4. Refund requests

EatBot reviews refund requests on a case-by-case basis. We may offer a refund in situations that reasonably include:

  • A duplicate payment for the same subscription period.
  • A payment made for an incorrect amount that has not been reconciled by activating a subscription.
  • A technical inability on EatBot's side to provide the paid service for a material portion of the paid period.

We generally do not refund in the following situations:

  • Change of mind after substantial use of the service during the paid period.
  • Failure to use the service during the paid period for reasons unrelated to EatBot.
  • Consequences of incorrect content the restaurant uploaded or published (for example wrong prices, wrong contact details, or wrong availability).
  • Outages or limitations of third-party services that are outside EatBot's reasonable control.
  • Requests that appear fraudulent or abusive.

EatBot does not guarantee refunds, does not commit to a fixed processing time, and does not process refunds automatically. Where a refund is approved, we will confirm the method and timing with you.

5. Mandatory consumer rights

Where local law provides mandatory consumer rights that apply to your subscription, this policy does not intentionally exclude them.

6. Chargebacks

EatBot's manual payment flow does not process card payments directly. If a dispute is raised outside EatBot, we cannot guarantee the outcome and may pause access while the dispute is resolved.

7. How to request a refund or cancellation

Please email support@eatbot.app from the address associated with your EatBot account, including the restaurant name, the payment reference, and a short description of the issue.
